Most conveyor quotation delays come from missing product data, unclear throughput, incomplete layouts, undefined machine interfaces, and uncertain controls or delivery scope. A concise RFQ package with drawings and a requirements matrix is more useful than a long email with scattered information.

Mistake 1: describing only the product name
Terms such as box, pallet, tray, bag, or component do not define the conveying problem. Suppliers need minimum and maximum dimensions, mass, base geometry, center of gravity, orientation, temperature, surface, fragility, and representative photos or samples.
Include fixtures, pallets, packaging, and product variation. Identify any surface that cannot touch the conveyor and any orientation that must be maintained.
Mistake 2: giving output without the operating sequence
Units per hour does not show product spacing, station takt, batch behavior, accumulation, recovery rate, starts, stops, or simultaneous movements. Provide a process map and time budget.
State average and peak demand, expected availability assumptions, and what happens when a downstream machine stops. This allows the supplier to propose buffers and control behavior.
Mistake 3: leaving interfaces and scope for later
Mechanical transfer heights, gaps, utilities, I/O, networks, safety zones, guarding boundaries, installation, commissioning, documentation, and testing can change the design and price. Delaying them creates rework.
Use a responsibility matrix to separate buyer, conveyor supplier, machine builder, electrician, installer, and integrator scope. Mark unknown items openly and set a date for closure.
